4 tips for clear communication with owners through Booking Experts

Managing homeowners efficiently is a challenge for many recreation operators. However, by setting up the owner environment in a smart and organised way, you can save a lot of time and effort. 1. Communicate efficiently with reception messages

With reception messages in Booking Experts, you keep communication with owners clear and simple. No more hassle with separate emails or phone calls, everything comes together in one place. Do you have something to report, such as a new booking, a planned job or a question about the financial overview? With reception messages, you notify owners effortlessly, quickly, clearly and professionally.

But it gets really interesting when you look at the flexibility of reception messages. When sending, you have three convenient options. Send a message to all active owners, to specific owners, or use labels to target groups of owners. Labels are a smart way to filter owners based on characteristics or agreements. For example, distinguish between investors and owner-occupancy, or select only owners who purchase a specific service from you.

Note that if you select multiple labels, it becomes a strict selection. The owner must meet all the labels selected - it's not an "and/or" situation, but an "and, and." By skillfully using these labels, you keep communications efficient as well as relevant, which makes your job easier and keeps owners happy.

2. The owner portal: transparency on your terms

How much do you want to share with your owners? That's the big question when you set up the owner portal. The convenient thing is: you decide what they see. By working with profiles, you can fine-tune exactly what information is available to which group of owners. This not only makes your communication more efficient, but also smarter.

Take investors, for example. For them, it is useful to have insight into their rental accounts, but information about guest data is less relevant. For private landlords who partly use their property themselves, on the other hand, it is interesting to know who is staying in their home. Perhaps they arrange their communications with guests and want to know who visits.

Once you are clear on what you want to share, set this up easily through the profiles. Want to double-check that everything is correct? Then you can temporarily take over the role of an owner and look through their eyes in the portal. Handy to see if everything is set to your liking! You can do this easily via the owner card, see below. With just a few clicks, you can be sure that everyone has exactly the right access, transparent, clear and customised.

3. Keep your owners informed effortlessly

Thanks to the owner portal, you can not only provide transparency but also set up automatic notifications. Think updates on new reservations, cancellations or changes. It's simple: notifications on or off, entirely to the owner's liking. Is the right "Owner can view bookings" enabled? Then the owner decides whether he/she want to receive notifications.

This way, owners are always kept up to date with what's going on, without having to log in constantly. And the best part? It saves you as an organisation time, too.

4. Add documents to the owners environment

A handy but often forgotten feature: adding documents to the owner's environment! Whether it's contracts, agreements or important PDF files, you can easily collect everything digitally in one place. Super organised and no hassle with separate documents.

The great thing is that you decide for each document whether the owner may view it. Documents are private by default, but do you want to share something? Just click on the three dots behind the document and choose Share with owner. That way, you're always talking about the same documents, and there's less confusion when communicating with owners!
