Managing homeowners efficiently is a challenge for many recreation operators. However, by setting up the owner environment in a smart and organised way, you can save a lot of time and effort. Customer Success Specialist Iris is here for you and shares 4 practical tips to make management simple and effective.
1. Set a clear effective date for owner appointments
When setting up the Owners module, it is important to choose a clear start date for the appointments. For example, choose the first day of the month in which you want to send the first invoice. In this way, the new owner immediately joins the existing settlements. This ensures orderly administration: all appointments are neatly aligned and immediately ready for settlements.
2. Make smart use of labels for owners
When setting up owners, it is smart to add labels immediately. This allows you to create all kinds of handy possibilities later on.
For example, you can label owners as annual guests, investors, own use, or based on their country of origin. With these labels, it becomes easy to filter and communicate in a targeted way. For example, do you want to send an update on new prices to all annual guests, or create a specific mailing for German owners? Thanks to labels, you arrange this effortlessly via the Reception Messaging tool.
Moreover, in the Owners module, you can easily filter on these labels, so you can quickly create targeted exports of owners or appointments. This keeps everything clear and saves you time.
3. Work efficiently with owner profiles
In addition to labels, you can also divide owners into profiles. This allows you to easily determine which rights an owner receives in their portal. Give the profiles clear names, for example, based on the agreements the owner has made with the park. Terms such as Investor, Own Rental or Flexible Rental provide direct insight into the underlying rights.
While setting up an owner, you select the right profile with one click. This way, you apply the same rights effortlessly to owners with similar agreements. This not only ensures overview and consistency, but also makes management a lot easier!
4. Get an overview of your commission agreements
To keep settlements simple and efficient, it is important to limit the number of different commission agreements as much as possible.
Uniform agreements make your administration clearer, reduce the risk of errors and make reporting and analysis a lot easier. You also save time in communication: updates and price changes can be made to all owners at once. This keeps your processes clear and efficient, both for you and for the owners.
